How we order requests and applications

This page explains in what order we send clients’ requests to network professionals and how we present them to the client. It is part of our Terms and Conditions. Last updated: 7 November 2026.

Who receives a request first

Matching professionals with an «Active profile» receive the request first. A profile is active when all three conditions are met:

  • you confirmed your availability in the last 14 days (one click on the email we send you);
  • your profile is complete: base city, languages, tour formats, bio and photo;
  • you hold the Cold Mind certification, which is free, or at least one verified review.

Other matching professionals receive the same request 3 hours later. This is the current value: it can range from 0 to 6 hours and we update it here if it changes. If no matching professional has an active profile, the request goes to everyone at once. If the client covers the position earlier, the second send does not happen.

Job board

After the same interval, which we also use as a technical check of the listing, the request appears on the job board without the client’s details and without the fee. Any network professional can apply. When the client marks the position as covered, the request disappears from the board and no one can apply any more, not even from an earlier email. We may hide a listing that does not look genuine.

How we present applications to the client

The client receives applications in order of arrival. TourLeaderPro does not select, rank or recommend candidates: the client chooses and agrees everything directly with the professional. The «Active profile» label in the summary only means the professional meets the three conditions above.

Exclusions

A profile may be suspended from receiving requests for the reasons set out in the Terms, for example untrue information, well-founded client complaints or at your own request. If you answer «not available», you receive no requests for 30 days.

Transparency

The Cold Mind certification is a free TourLeaderPro product. The site operator, Daniele Dezi, is also a tour leader and a network member: he receives requests under the same rules as everyone else. TourLeaderPro neither knows nor records the agreed fee or who is given the assignment.

The Rule of 15

TourLeaderPro quality standard: one tour leader for roughly every 15 participants. Above this threshold we provide a second tour leader. It is an operational choice, not a legal requirement: it comes from the limits of the most visited sites (Vatican Museums 20 people per guide, Venice 25, audio headsets compulsory at the Colosseum from 9 people) and from the point beyond which one person cannot guarantee timing, safety and attention to everyone.
